Writing a Thank You Letter

A simple guide for scholarship recipients

Why Write a Thank You Letter?

Congratulations on receiving your scholarship! Someone believed in you and your potential enough to invest in your education. A thank you letter is one of the most meaningful ways to show your gratitude.

Your donor may be an individual, a family, a company, or an organization. In many cases, they created this scholarship because they believe in the power of education to change lives. Your letter lets them know their generosity is making a real difference.

A heartfelt thank you letter can also inspire donors to continue giving, helping future students just like you. It only takes a few minutes, but the impact lasts far beyond the words on the page.

The Who, What, When, Where, Why & How

?

Who Should You Address?

Address your letter to the scholarship donor by name. This might be an individual (e.g., “Dear Mrs. Smith”), a family (e.g., “Dear Smith Family”), or an organization (e.g., “Dear Reseda Women’s Club”). The name of your scholarship donor will be included with your award notification. If you’re unsure who to address, reach out to us and we’ll help.

?

What Should You Write?

Keep it personal and sincere. Your letter doesn’t need to be long—a few thoughtful paragraphs is perfect. Think about:

  • Express your gratitude and mention the scholarship by name and amount
  • Share what difference receiving this scholarship makes for you
  • Describe how you plan to use the funds
  • Mention your educational and career goals
  • Let them know how their support is helping you succeed
?

When Should You Send It?

Send your thank you letter as soon as possible after receiving your scholarship notification. Ideally within one to two weeks. A prompt letter shows your donor that you value their generosity and don’t take it for granted.

?

Where Do You Send It?

Submit your thank you letter to The Foundation for Pierce College. We will make sure it gets to your donor. You can email your letter to [email protected] or drop off a handwritten letter at our office at 6201 Winnetka Avenue, Woodland Hills, CA 91371. A handwritten note can feel especially personal and meaningful.

?

Why Does It Matter?

Donors give because they want to make a difference. Your letter is proof that they did. It connects them to a real person whose life they’ve impacted. Many donors say that receiving a thank you letter from a student is the most rewarding part of giving. Your words can inspire them to continue supporting future students.

?

How Should You Format It?

Keep it simple and genuine. A typed or handwritten letter both work. Use a friendly but respectful tone. There’s no need to be overly formal—just be yourself. See the template below for a simple structure to follow.

Tips for a Great Letter

Be Specific

Instead of just saying “thank you,” share a specific detail about how the scholarship helps you. Maybe it covers your textbooks, allows you to work fewer hours, or helps you stay enrolled.

Be Yourself

Write in your own voice. Donors want to hear from the real you, not a formal version of you. It’s okay to be casual and personal.

Share Your Goals

Let the donor know what you’re working toward. Whether it’s transferring to a university, starting a career, or completing a certificate—they want to know they’re investing in your future.

Proofread

Take a moment to check for spelling and grammar before sending. A polished letter shows you put thought and care into it.
